POSManualVoid Item

Void Item

Void an item when a customer changes their mind or the kitchen can’t make it after the order is sent. The POS removes the item from the order, records your reason, and can print a DO NOT MAKE ticket for the kitchen.

To remove an item before you send the order, delete it from the cart instead. See Make Order.

Before you start

  • Manager approval: staff without a manager role need a manager’s approval to open Void Items. If your business has no manager roles, any signed-in staff member can open it. If nobody is signed in on the POS, a manager signs in to approve. See Job Roles.
  • Reasons: the reasons staff pick from, and whether they must pick one, are set in the Back Office. See POS cancellation and void reasons. In Selflane POS 7.6.4 or later, the POS uses your business’s own reason list and policy. Without a list, it shows the built-in reasons and accepts free text, whatever the policy.

Void an item

  1. Open the order, tap Edit, then tap Void Items.
  2. Swipe left on the item, then tap Delete.
  3. Tap a reason, type one in Action Reason, or both. Tap a picked reason again to clear it.
  4. If the item prints to a kitchen, bar, or label printer, choose Notify Kitchen or Void but Don't Notify Kitchen.
  5. Tap Submit.

Under the item name, the sheet shows which printers the item goes to, or None. Notify Kitchen is picked by default. It prints a DO NOT MAKE ticket for the item on its kitchen and bar printers, and on the receipt printer.

Void Items is in the Edit menu only on open orders entered on the POS that have no split checks. Online, kiosk, and third-party orders don’t offer it. For other orders:

  • Split checks: open Split Checks and tap the pencil on a check that has no payment yet. The same Void Items screen opens with only that check’s items. See Split & Merge.
  • Drive-Thru: tap the menu button on the order, then Delete Item. See Drive-Thru Display.

Reason rules

What you must enter depends on the policy set in the Back Office:

PolicyWhat you enter
Free text — staff type anythingA reason picked from the list, a typed reason, or both.
Must pick from the listA reason from the list. The text field becomes Note and is optional.
Must pick from the list and add a noteA reason from the list and a Note.

A reason marked Require note in the Back Office always needs a note. Notes can be up to 500 characters.

Items voided without a reason

Under Free text — staff type anything, the POS skips the reason sheet for a dish marker line, or a $0 item that doesn’t print to any printer. It removes the item right away, and prints nothing. Under the other policies, these items open the reason sheet like any other.

Void the last item

The POS doesn’t void an order down to nothing. If you delete the only item left, the Cancel Order screen opens instead. Dish marker lines don’t count as items. The POS counts the whole order, even when you void from a split check.

If the order has more than one line, a gift card or voucher on the order keeps it from being empty. If the order has only one line, Cancel Order opens even when the order also has a gift card or voucher.

Remove gift cards and vouchers

Void Items lists gift cards and vouchers on the order after the items. Swipe left and tap Delete to remove one. These don’t ask for a reason.

You can remove a gift certificate. A gift card sold on the order can’t be removed here. The POS shows Deleting a gift card is not allowed.

See what was voided

  • On the order: the row under the items shows 1 Voided Item or <count> Voided Items. Tap it to see each voided item with its amount, reason, and time.
  • Server report: the printed server report lists voided items under Voided Items, with the order number, item, amount, and time. The Grouped view doesn’t print this section. See Server Report.
  • Back Office: Sales Actions lists every voided item, and totals voids by reason and by server.

When a manager signs in to approve the void, the POS adds Approved by <name> to the reason. It doesn’t add this when the POS lets the staff member through without asking.

What staff might see

  • Please provide a reason: you didn’t pick or type a reason. Pick one, or type one.
  • Please pick a reason from the list.: your business requires a reason from the list. Tap one.
  • Please add a note for "<reason>".: this reason needs a note. Type one in Note.
  • The note is too long. Please keep it under 500 characters.: shorten the text.
  • Deleting a gift card is not allowed: you tried to remove a sold gift card. Leave it on the order.
