Clients & Contacts

Before sending estimates and invoices, set up your client database. Clients represent the businesses or organizations you invoice, and contacts are the people at those businesses who receive your documents.

Trusted Clients

Adding a Client

Search for an existing business or partner organization by name. Results show matching businesses and organizations from the Selflane platform. Select one to add it as a trusted client.

Each client record includes:

  • Name — the business or organization name (auto-filled from search)
  • Notes — optional internal notes about the client

You can only add each business or organization once. The system prevents duplicate client entries.

Managing Clients

From your clients list you can:

  • View all your saved clients
  • Update notes or status on any client
  • Remove clients you no longer work with

Using Clients in Documents

When creating an estimate or invoice, link it to a client to:

  • Auto-fill the customer’s business name
  • Choose from that client’s saved contacts
  • Allow the client to view all documents you’ve sent them from their own dashboard

Contacts

Contacts are the people who receive your estimates and invoices. They can be linked to a trusted client or exist independently.

Primary Contacts

Mark one contact as primary for each client. When you send an estimate or invoice:

  • The primary contact receives the email in the To field
  • All other contacts receive it as CC

Linking Contacts to Clients

When you create a contact and link it to a trusted client, that contact appears in the client’s contact list. When building an estimate or invoice for that client, you can quickly select from their saved contacts instead of entering details manually.

You can also create standalone contacts that aren’t linked to any client — useful for one-off invoicing.
