Set up and manage Stock

Keep a running Current Amount for dishes you track. Use the Back Office to start tracking, record changes, and review who changed an amount.

Sales do not reduce Current Amount yet. Stock does not automatically mark dishes sold out. Use your normal availability controls when you need to stop selling a dish.

Recipe-based ingredient reports estimate usage from sales. They are separate from the amounts recorded in Stock.

Start tracking a dish

You need access to the Back Office Menu area.

  1. Open Settings > Menu > Menus in the Back Office .
  2. Open the dish. If it is new, save it before setting up Stock.
  3. Turn on Track stock.
  4. Enter how many you have now as a whole number, including 0 if none remain.
  5. Click Start tracking.
  6. Check the Current Amount shown on the dish.

Start tracking saves the opening count separately from the dish’s other settings. The amount carries over from one day to the next.

Record a change

Open Settings > Menu > Stock in the Back Office . Find the dish and choose the action that matches what happened.

ActionWhat to enterResult
ReceiveThe whole number that arrived, at least 1. A reason is optional.Adds that number to Current Amount.
CountThe whole number you have now, 0 or more. A reason is optional.Replaces Current Amount with your shelf count.
WasteThe whole number lost, at least 1, and a reason.Subtracts the loss.
CorrectA nonzero whole-number change and a reason. Use a minus sign to subtract.Adds or subtracts the correction.
  1. Choose the action beside the dish.
  2. Check the Current Amount in the form.
  3. Enter the amount and reason as required.
  4. Click Save and check the updated amount.

For example, if Current Amount is 10 and you receive 6, use Receive with 6. If you count 6 total on the shelf, use Count with 6 instead.

Dishes that share the same stock item share its amount. A change to that item affects every dish using it.

Review history

  1. Find the dish in Stock and click History.
  2. Review the kind of change, amount added or removed, amount after the change, person, reason, and time.
  3. Use the page controls to see older changes.

Use the history to check whether a receipt or count was recorded before entering it again.

Stop tracking

  1. Open the dish under Menus.
  2. Click Stop tracking and confirm.

The history is kept. Starting tracking again asks for a new opening count.

If a save fails or the amount changes elsewhere

Read the error and check the refreshed Current Amount. A lost connection does not prove that the change failed.

For a count conflict, check the shelf and the refreshed amount before submitting another count. Do not overwrite a newer amount using an earlier count without checking it.

If you retry the same uncertain change, keep its original values. Check history before entering a separate receipt or correction for the same event.

Use Stock during a shift

Selflane POS 7.8.1 adds a Stock list with Receive and Count. Staff can record deliveries or count the shelf without returning to the Back Office.

Follow Receive and count Stock on the POS. Waste, Correct, tracking setup, and history are covered here in the Back Office.
