Receive and count Stock on the POS

Record arriving stock or the number on the shelf in Selflane POS 7.8.1. An owner or manager first needs to turn on tracking for each dish.

Sales do not reduce Current Amount yet. Recording Stock does not automatically mark a dish sold out.

Staff with access to the business can open Stock, Receive, and Count without manager approval.

Open Stock

  1. Tap More > Stock, or open the gear menu on the ordering screen and choose Stock.
  2. Find the dish and check its Current Amount.
  3. Pull down to refresh before recording a change if the list has been open for a while.

From the ordering screen, Stock opens full screen. Tap Done to return to the order.

A tracked dish also shows its Current Amount in dish details. Use the Stock list to change it.

Receive a delivery

Use Receive to add the quantity that just arrived. Do not enter the total already on the shelf.

  1. Tap Receive beside the dish.
  2. Enter Quantity as a whole number from 1 to 100,000.
  3. Add a reason if needed, such as a supplier delivery reference.
  4. Tap Submit.
  5. Wait for the list to refresh, then check Current Amount.

For example, if you had 10 and received 6, enter 6. The new amount is 16.

Count the shelf

Use Count to replace the recorded amount with the quantity you physically have.

  1. Count the stock on the shelf.
  2. Tap Count beside the dish.
  3. Enter Number on the shelf as a whole number from 0 to 100,000.
  4. Add a reason if needed.
  5. Tap Submit and check the refreshed Current Amount.

If you count 6 on the shelf, enter 6 even if Current Amount previously showed 10.

If dishes share a stock item, the list shows Shares stock with the other dishes. Receiving or counting changes the amount for all of them.

If the amount changed on another iPad

The POS refuses an outdated count and reloads the amount. Check the new Current Amount, count the shelf again, and re-enter the count.

If the new amount cannot load, close the form and refresh Stock before counting again. The POS does not silently overwrite the newer amount.

If saving is uncertain

If a connection problem leaves the result unknown, the form keeps the submitted values and offers Retry or Close:

  • Retry sends the same receipt or count again. It does not create a second copy of that same submission.
  • Close returns to Stock and reloads the amounts. Check whether the change already appeared before recording it again.

Receive and Count stay unavailable while the list is being reread. Wait for fresh amounts before starting another change.

Other problems

  • No tracked dishes: ask a manager to turn on tracking in the Back Office.
  • Couldn't load stock: check the connection and tap Retry.
  • Count is unavailable because no amount is set up: ask a manager to finish setup in the Back Office.
  • An amount is below zero: count the shelf to correct it. The POS shows the recorded negative amount rather than replacing it with zero.
  • A reason is too long: shorten it to 200 characters or fewer.

For waste, corrections, or history, use Stock in the Back Office.
