Daily limits on the POS
A daily limit caps how many of a dish you sell each day, so the kitchen doesn’t promise more than it can make. The POS shows how many have sold and asks before you send an order that would go over.
Set a dish’s limit with Daily Limit when you edit the dish in the Back Office. A limit of 0 means no limit.
In Selflane POS 7.7.2 or later, the POS checks the counts again before it sends an order, grays out dishes at their limit with an 86'ed badge, and counts by your business time zone.
See today’s count
On the ordering screen, a dish tile with a daily limit shows today’s count next to its price, such as (18/20). The list view and search results don’t show the count. Counts follow the calendar day in your business’s time zone, so they start over at midnight.
When a dish reaches its limit, it’s grayed out with an 86'ed badge, the same badge an 86’ed dish has. You can still sell it with a manager’s approval.
Add a dish that’s at its limit
Tapping a dish that has reached its limit shows the dish name, Today's limit is reached, and There is still inventory available.
- Tap
Continue Orderingto sell it anyway, orDelete from Cartto leave it off the order. - If you don’t have a manager role, a manager approves on the POS. Canceling the approval takes the dish off the order.
- The dish’s options open. Finish the dish as usual.
If your business has no manager roles, or you have one, Continue Ordering goes straight through. See Job Roles.
An 86’ed dish works the same way, with This item is 86'ed instead. If a required modifier group can’t be filled because its choices are 86’ed, the group’s name shows too.
Once a dish is approved, the POS doesn’t ask about it again when you send that order or submit those added items, even if you add more of it. Approving a dish at its limit here doesn’t cover it being 86’ed later, and the reverse.
Check before sending
When you tap Send or Pay & Send on a new order, or Submit on Add Item or Repeat Items, the POS checks the dishes you’re sending. If any of them has a daily limit, it gets fresh counts first and shows Checking stock… while it waits. Items already on an order aren’t checked again when you add more.
Counts are for the day the order is due. A new order scheduled for a later day counts against that day. Items added to an existing order count against that order’s day.
The review opens when:
- a dish would go over its limit, counting every line, seat, and combo you’re sending, or
- a dish is 86’ed and wasn’t approved when you added it. This catches dishes 86’ed after you added them, and 86’ed dishes added with
Repeat Items. - in Selflane POS 7.8.3 or later, a combo on the order is Out of Stock. Its row says
This combo is 86'ed. See Combos.
The title is Over today's limit when any row is over its limit, or Items are 86'ed when every row is 86’ed. A dish that’s both 86’ed and over its limit gets an 86’ed row. Each dish has its own row:
2 left · 3 in order— the dish has some left today, but fewer than the order holds.Sold out · 3 in order— none are left today. This item is 86'ed— the dish is 86’ed.
Sold-out and 86’ed rows also show the 86'ed badge.
Choose what to do with each dish
| Choice | What it does |
|---|---|
Cut to 2 | Lowers the dish to what’s left today. Lines outside a combo go down first, starting from the last line. If the dish’s combos alone go over, whole combos are removed. |
Remove | Takes every line of the dish off. A combo that includes it is removed whole. |
Approve | Sells the dish anyway. A manager approves. |
The number in Cut to is how many the order keeps. The POS picks Cut to when it can, and Remove otherwise. It never picks Approve for you. Cut to isn’t offered when none are left, for 86’ed dishes, for dishes sold by weight, or when cutting would remove every combo holding the dish and leave none.
Approving an 86’ed dish that’s also over its limit covers both.
Under each row, the POS previews the change, such as Seat 1: 3 → 2, Taco Combo removed, or Sell with approval. Nothing changes until you tap the main button.
Finish the review
- Tap the main button. It repeats what you tapped:
Apply & Send,Apply & Pay, orApply & Submit. The iPhone has noPay & Send, so it shows onlyApply & SendorApply & Submit. - If you chose
Approveand the review saysNeeds a manager, a manager approves on the POS. - The POS checks the counts again with your changes, then sends the order.
Tap Back to return to the order without changing or sending anything.
You can’t apply changes that would leave the order empty. Keep at least one item, or tap Back.
Approved oversells on the order
When a dish goes out over its limit or while 86’ed with approval, the POS records it on the order as Over daily limit or 86'ed item sold. The detail names the dish, how many, who sent it, and who approved it, such as Fish Tacos: 2 over today's limit. Performed by Ana. Approved by Sam. Review these in Sales Actions.
The detail has no Approved by part when no manager signed in to approve, for example because the person sending has a manager role.
What staff might see
Counts may be stale, under the review title — the POS couldn’t get fresh counts within 2 seconds, so it used the counts already on screen. Check with the kitchen before you approve.Stock keeps changing. Please try again.— counts or the order changed several times while you were deciding. Tap the button again. Please try again— the review couldn’t open. Tap the button again.- The order sends without a review although a dish is over its limit — the POS couldn’t get today’s counts and had none from today to fall back on. The limit isn’t checked then, but 86’ed dishes still are.
