Card Search

Use Card search when a customer asks about a charge and you only know the card’s last 4 digits. It lists that card’s payments over a range of business days, so you can find and open the order it paid for.

Find a card payment

  1. Open Owner's Portal > Payments in the Back Office , then open the Card search tab.
  2. Choose the business days to search. The range can’t run past today, and it can be up to 180 days long.
  3. Enter the card’s last 4 digits in Last 4. The search starts when you’ve entered all 4 digits.
  4. Optional: enter the charged amount in Amount (optional) to narrow the list to payments for that exact amount.
  5. Click a row, or its order number, to open the order.

If you choose more than 180 days, Back Office asks you to shorten the range before it searches.

What the results show

Each row is one payment. The newest payments are at the top.

  • Date — the business day of the order the payment is for. A payment that isn’t linked to an order shows the business day it was charged.
  • Time — when the card was charged.
  • Order — the order number, plus the check number for a split check. It shows a dash when the payment isn’t linked to an order.
  • Card — the card brand and last 4 digits.
  • Amount — the amount charged.
  • Status — the processor’s status, such as Sale or Return on a PAX terminal. Voids, returns, refunds, and cancellations are shaded.
  • Method — where the card was charged: PAX, MagTek, or Stripe.

The count of payments shows under the table. Use the download button beside it to save the results as a CSV or PDF file.

What Card search covers

Card search covers cards charged on PAX terminals, MagTek readers, and Stripe. Declined attempts aren’t listed.

Some older Stripe payments may not appear, because older Stripe records don’t all include the card’s last 4 digits. If you can’t find a Stripe charge here, look for it in the Payments Dashboard.

If the card made no payments in those days, Back Office says so. If you entered an amount and none of the card’s payments match it, Back Office tells you how many payments it found for the card so you can clear the amount and review them.

Owners can open Card search. A custom role that already has PAX Transactions can open it, because Card search lists PAX records.
